Abstract

The integration of digital technology into business operations, known as digital transformation, has significantly enhanced efficiency across various industries. This project addresses the need for a centralised records management system in the Residential Childcare sector in Ghana, which faces challenges due to outdated manual record-keeping systems. The main objective of this project was to develop a web-based application, Haven Records Management System, to centralise and streamline record management in these institutions. Utilising the Three-Tier Architecture framework and Model-View-Controller (MVC) design pattern, the system's key functionalities include managing children's records, staff information and legal documents. The system's implementation demonstrated improved efficiency and accountability, aligning with Sustainable Development Goal 16: Peace, Justice, and Strong Institutions. However, limitations such as internet dependency and platform restrictions were identified. Future enhancements, including mobile adaptation and third-party integrations, are recommended to address these challenges and further improve the system's usability and impact.
